BidMessenger Overview

Bid Messenger is an online plan room and subcontractor notification system that saves estimators and subcontractors time by automating communications during the bid process. When you have received an email invitation to bid on a project, click the link provided and it will take you to the Project Details page.


Project Details Page

The Project Details page contains all the information about the project, and links to download the Plans & Specs as well as any addenda that are issued throughout the course of the bid process.


Submitting Bids

BidMessenger makes it easy to to submit your bids to a contractor. Simply click on the 'Submit Your Bid' button below the project details, and a form to upload your bid will appear. Click the 'Choose File' button, and browse to the document on your computer that contains your bid, and select it. When the progress bar indicates that the upload is complete, click the 'Submit Bid' button.

If your bid consists of more than one document, organize them in a compressed .zip folder. This will reduce the total file size of the bid, and make it fast and easy for a contractor to download them. If you need help creating .zip folders, see How to Create .zip Folders.

When you're finished creating the .zip folder, click 'Choose File', browse to and select the folder you've created. When the progress bar indicates that the upload is complete, click the 'Submit Bid' button. After you click the 'Submit Bid' button, a contractor will be notified that you have submitted a bid.


How to Create .zip Folders

PC Users

  1. Organize all of the current Plans and Specs into a folder on you computer.
  2. Select all the files in the folder.
  3. Right-click the selected files, and select ‘Send to ‘Compressed’ .zip Folder’.
  4. Right-click the .zip file, select ‘Rename,’ and give it an appropriate name like 'Project Name - Plans & Specs.zip'. Be sure to keep the .zip at the end of the title.

Mac Users

  1. Organize all of the current Plans and Specs into a folder on you computer.
  2. Select all the files in the folder.
  3. Right-click the .zip file, select ‘Get Info,’ and give it an appropriate name like 'Project Name - Plans & Specs.zip'. Be sure to keep the .zip at the end of the title.

Managing Bids

If you would like to view the bids that you have submitted to a contractor, click the 'My Bids' link located in the upper-right of the top navigation. A list of all your bids will appear, where you can view the bid information, Download a copy of the files you've submitted, or update your bid.


Updating Bids

If you need to update a previously submitted bid, simply click the 'My Bids' link in the upper-right of the top navigation, and click the corresponding 'Edit' button for the bid in question. Aside from including a link to download the Current Bid Files, updating a bid is exactly the same as submitting a bid. When the upload is complete, and you click the 'Update Bid' button, a contractor will be notified that you have submitted a bid.


Stopping Notifications

If you download any of the project documents, BidMessenger will add you to a list of Planholders for the project. Whenever an update is made, or addenda are added to the project, you will receive email notifications informing you of the change. If you no longer wish to receive notifications for a particular project, click the 'Stop Notifications' button below the project details. If you change your mind, you can always click the 'Start Notifications' button that appears in its place.


Viewing Projects

Public Projects

When you log into BidMessenger, you will automatically be directed to the Public Projects page, which lists all of the projects that are not password protected.


Private (Password Protected) Projects

If a contractor invites you to participate in a private bid, you will receive an email containing a link to the Private Project Details page, and the password required to view the page. When you click the link, you will be redirected to the Private Projects page where you will be prompted for the password. Copy and paste the password into the password field and you will be granted access to the Private Project.

As long as you have access to the Private Project, a new link will appear in the top navigation, titled 'Private Projects'. You can click this at any time to view a list of the Private Projects you have been granted access to.


Managing your Account

Editing your Profile

To change your company contact information or employee details, click 'Account' in the upper-right of the top navigation, and select 'Edit Profile'. Make your changes, and click the 'Update Profile' button when you are satisfied with your changes to save them.


Editing Divisions

To edit which CSI codes your company supports, click the 'Account' link in the upper-right of the top navigation, and select 'Edit Divisions'. A list of the 16 major divisons will show up with checkboxes to the left of each. To check off the entire contents of a division, click the checkbox to the left side. If you would like to select specific subdivisions, click the 'View all' link to the right of the division, and the subdivisions will drop down.

When you are finished selecting your CSI codes. Click the 'Update Divisions' button at the bottom to save your changes. From now on, you will only be notified of new work that contains the divisions you selected in its scope of work.


Resetting your Password

If you forget your password, click 'Forgot Password?' at the bottom of the Sign In form. Enter the email address that you used to create your BidMessenger account, and click the 'Reset Password' button to receive an email with a link to create a new password for your account.

If you know your password but just feel like changing it for whatever reason, you can reset your password the same way by clicking 'Reset Your Password' in the 'Edit Profile' form
